Four quote follow-up emails for four different moments

Personalise the job, facts, timing, and sign-off. Never leave a placeholder in a customer email.

1. Receipt check

Subject: Did the [job] quote reach you? Hi [first name], I’m checking that our quote for [job] arrived and opened correctly. If you want any item explained, reply and I’ll run through it. Thanks, [business]

2. Helpful nudge

Subject: Any questions on the [job] quote? Hi [first name], Is there anything in the scope, timing, or price you would like clarified before you decide? No pressure—a yes, no, or “not yet” is all helpful. Thanks, [business]

3. Decision request

Subject: Checking in on quote [number] Hi [first name], I’m reviewing our open quotes. Would you like to proceed, revisit the scope, or leave this one for now? Any answer helps me keep our schedule accurate. Thanks, [business]

4. Polite close

Subject: Should I close quote [number]? Hi [first name], I haven’t heard back, so I’ll close the quote for now rather than keep chasing. If the project restarts, reply and I can confirm current pricing and availability. All the best, [business]

Before you send

Check the recipient, quote number, scope, price, dates, validity terms, and any statement about availability. If the customer has declined or asked not to be contacted, do not send another follow-up.
